Event Lighting for Different Room or Venue Sizes

The first thing to consider is the size of the room or venue! Smaller venues don’t require nearly as much equipment or electrical considerations as larger venues do. Especially in smaller venues, positioning of equipment is crucial for a good event experience for those in attendance.

Here’s an example, a wedding reception taking place in a small ballroom will still require plenty of tables and sufficient spacing from the main stage. In the case of weddings and receptions, there’s a strong emphasis on the couple and the MC, requiring spotlighting and other focused lighting solutions. If the room is smaller, it’s entirely possible that some attendees sitting at tables may be close to some of the lighting equipment. Having a bright light in your peripheral vision is not a fun experience.

Lighting logistics is very important in small venues, and giving the room adequate lighting and effects becomes more and more a logistics issue where the layout may either work for you or against you. Which brings us to our next point…

This is a twofold problem. Not only must your event lighting company understand what the electrical situation looks like. How many outlets are available, where are they located? But also they have to consider what YOUR needs are. More often than not, our clients choose to utilize our special lighting services.

Lighted backdrops, festival lights, light canopies are just a few of the common lighting solutions we offer that add some flavor to your event and truly make it look like a professional production. Special effects will require additional electrical considerations, not just in respect to the venue, but also compliant with all safety protocols and regulations.

Considering the Impact of Technology on Lighting

Many events incorporate the use of technology such as projectors for videos and laptops as well as other devices to create an engaging experience. Projectors are especially important as event sizes are trimmed due to COVID-19. Displaying video speeches from people who couldn’t be present has always been a warming and integral part of many important events such as weddings and receptions.

As such, lighting should reflect technology needs. After all, flooding the image of a projection with too much light is just one example of how miscalculation can make an event less than optimal.

One thing to be wary of is that if you are going to have a technology heavy event, but still wish to have the intimate atmosphere that softer lighting provides, blending lighting appropriately through the room is key to the scene being easy on the eyes. Using dim lighting and then blinding your guests with bright screens can be an unpleasant experience!
